Three types of student theses can be added to Pure at this stage: Master Theses, Master-after-Master Theses and Doctoral Theses. While CALI is the authentic source for all information regarding theses, they can be added to Pure, to both the thesis author&#039;s and the jury members&#039; or adviser&#039;s benefit. However, the thesis module as it is implemented at the moment has some limitation, making data entry and data reuse not straightforward. While there are support tickets logged with Elsevier, we can not definitively say when the issue will be resolved completely. Nevertheless, we have found some workarounds, which make it possible to enter theses and show them on the Pure portal.&lt;br /&gt;

This allows for the registration of external theses as well (even though technically this is not a supported use case and which necessitates the addition of an internal organisation):&lt;br /&gt;

&lt;div&gt;The purpose of this quickstart guide is to give researchers a basic tour of Pure and show them the quickest way to input their publication data and update their personal information.&lt;br /&gt;
&lt;br /&gt;
&amp;lt;h2&amp;gt;First-time login and setup&amp;lt;/h2&amp;gt;&lt;br /&gt;
&lt;br /&gt;
Authorized users can [[Accessing Pure|login]] through the login page. After logging in, a researcher without special [[Rights &amp;amp; Permissions|permissions]], should see a screen that looks like this:&lt;br /&gt;

The center of the interface is the working area, and changes depending on the type of content selected. The marked parts of the interface are:&lt;br /&gt;
&lt;br /&gt;
&amp;lt;br /&amp;gt;&lt;br /&gt;
&lt;br /&gt;
# Modules: these are the modules to which the user has access. Researchers will work most, if not all, of the time in Personal. Users with additional [[Rights &amp;amp; Permissions|permissions]] may have other tabs here, such as Editor, Master Data and Administrator.&lt;br /&gt;
# Objects: these contain the actual content entered by the researcher and grants read-access to other researchers&#039; content in Pure. When hovering the cursor over these objects, a plus sign may appear. Clicking this plus sign allows researchers to add new content of that type.&lt;br /&gt;
# Personal information: this displays your active affiliations, personal details you have entered and a picture if you have added one to your profile. Adding this information is possible by clicking the &#039;&#039;Edit profile ...&#039;&#039; button.&lt;br /&gt;
# Search bar and user options: the search bar allows users to look through all their personal content, wildcards (such as * or ?) are generally not necessary. Clicking the user option button opens a pop-up window where some [[#Adjusting user settings|user settings]] can be modified.&lt;br /&gt;
# Communication panel: this panel contains links to messages sent by the systems or administrators, or tasks to be completed, if any (in the example, no tasks are waiting). Additionally, the big green &#039;&#039;Add new&#039;&#039;-button allows users to create new activities, research outputs or other editable objects.&lt;br /&gt;
# Help &amp;amp; support: here you find links to this wiki, to a number of screencasts and to the [mailto://rd.databank@vub.ac.be helpdesk&#039;s] email.&lt;br /&gt;
&lt;br /&gt;
&amp;lt;h2&amp;gt;Adjusting user settings&amp;lt;/h2&amp;gt;&lt;br /&gt;
&lt;br /&gt;
Pure allows users to modify a limited amount of user settings, mostly concerning system interaction. Note that there is a difference between user settings and the personal profile which allows for a much greater degree of customization. Users are people who can interact with the system, while persons are a much larger group (for example, students and retired employees still have person profiles, even though they no longer have user accounts).&lt;br /&gt;
&lt;br /&gt;
Clicking the user settings button shows this pop-up:&lt;br /&gt;

The profile menu allows you to jump to the person profile page (&#039;&#039;Edit person profile ...&#039;&#039;) and to set a default submission language. In most cases, this should be set to English. It can also be set to Dutch, but then the system will assume that all titles, subtitles etc. you enter are in Dutch. When selecting Dutch, the relevant field will be indicated with a Dutch flag (as opposed to a flag of the United Kingdom if English is selected).&lt;br /&gt;
&lt;br /&gt;
E-mail settings determine in which circumstances Pure sends you information by e-mail. For most users, these settings should not be changed, as the default settings only generate e-mails most users want to see. If you do not want to receive any mails from Pure (if you log in frequently, for example), you can turn off the e-mails by going into this menu and change the settings from &#039;&#039;Mails are sent instantly&#039;&#039; to &#039;&#039;Mails are never sent&#039;&#039;.&lt;br /&gt;
&lt;br /&gt;
Message settings work similar to e-mail settings, but instead of sending e-mails, the system sends messages within Pure. This is particularly helpful if you often work in Pure and find e-mails in your inbox annoying. Both messages and e-mails offer users the opportunity to jump to the object the message references. For example, if a validator sends you a message about a particular research output, a link that takes you to that research output is included within the e-mail or message.&lt;br /&gt;
&lt;br /&gt;
Finally, tasks allow users to keep track of actions that still need to be taken. For researchers, the most common application is a task that reminds them of &#039;&#039;pending research output&#039;&#039;. Clicking this task shows all research output that, for some reason has not been validated.&lt;br /&gt;
&lt;br /&gt;
The user profile also includes the option to designate a &#039;&#039;trusted user&#039;&#039;, which allows another Pure user to gain access to your account without the need to share password information.&lt;br /&gt;
&lt;br /&gt;
&amp;lt;h2&amp;gt;Adding a new publication&amp;lt;/h2&amp;gt;&lt;br /&gt;
&lt;br /&gt;
There are three ways to add new a publication: 1) manual input, 2) import from external database such as Pubmed and 3) import from file (Bibtex or RIS). If you want to see if your publication is already in the system, navigate to Research Output &amp;gt; My research output. You will see a list of all research output in the system on which you have been indicated as an author or an editor. To start adding publications, either click the big green &#039;&#039;Add new&#039;&#039; button in the right upper corner of the screen or click the plus-sign on that appears when you hover the cursor over Research output in the lift sidebar. Choose whichever method of input you prefer. If you choose to create from template (i.e. manual input), select the right category in the menus that appear on the screen. After deciding which category in which you want to create a new publication, the right template will pop up on the screen. For the remainder of this guide, we will use the template for a journal article. Note that other categories may have different templates as other information is needed to identify and display the publication.&lt;br /&gt;

Fill out the template as indicated. Note that without additional permissions, the person creating the research output is always added as a contributor to the publication. If you need to add content for someone else, please send an e-mail to the [mailto://rd.databank@vub.ac.be helpdesk] to set up the right permissions. When adding authors or editors, please make sure you use internal persons where appropriate. Throughout the years, many internal persons have been accidentally added as external persons. While we are trying to clean this up as much as possible, the sheer amount of duplicates makes this a long term effort. Start typing the name and look for the internal person (internal persons are indicated by a black icon, external persons are indicated by a white icon.&lt;br /&gt;

Pure&#039;s default setting shows all active affiliations on an internal person who is added to a publication. The affiliations shown on the record have no impact on funding mechanisms (the staff affiliation as registered at the HR department determines this), but they do determine on which pages of the portal the publication will be shown.&lt;/div&gt;</summary>

Pure has an intricate system for managing access rights and permissions. All content which is not marked confidential is visible for all Pure users and most content (i.e. not marked confidential or back-end) is visible for external visitors through the Pure Portal. That said, there are a number of situations in which people want to submit or edit content of which they are not the owner. In those such situations, additional rights have to be requested at the [mailto:rd.databank@vub.ac.be helpdesk]. Pure offers three levels of permissions for most content types in the system: trusted user, editor and administrator. Administrator rights give full read and write access on specific content types for the entire VUB and are never granted to normal users. We try to limit the number of administrators as much as possible to a few people in the administration. &#039;&#039;&#039;&#039;For Validation&#039;&#039;&#039;&#039; is the default status and means that the article will be available for the Editors of content to process to a &#039;&#039;&#039;&#039;Validated&#039;&#039;&#039;&#039; status. As articles are added and processed the editor can send messages to you if content needs clarifying or correcting. You will see these messages in your Pure ‘Message box’ to the right of the user window, and depending on if you elect to receive email alerts, these will be summarised in an email to you. &lt;br /&gt;

Once content has been validated it can still be edited by the author if they need to make any changes. It will then be marked for &#039;Revalidation&#039; and go back through the workflow process. The article metadata (title, authors, date, journal name, volume, pages) will be visible straight away but other elements will not be released until the article has been validated. &lt;br /&gt;
&lt;br /&gt;
If you wish to keep something out of the editor&#039;s view and signal that it is not ready to be validated, the status should be set to &#039;&#039;&#039;&#039;Entry in Progress&#039;&#039;&#039;&#039;. This way, you can alter any information of your publication without sending it through the validation workflow process.&lt;br /&gt;

Depending on which type of [[research output]] you have sent for validation, there are different metadata requirements. When entering a publication record into Pure, you may notice you have the choice of saving it under &#039;For Validation&#039; or &#039;Entry in Progress&#039;. [[File:Workflow_Validation.png|300px|thumb|right|Forwarding the publication for validation]]&lt;br /&gt;

&#039;&#039;&#039;&#039;For Validation&#039;&#039;&#039;&#039; is the default status and means that the article will be available for the Editors of content to process to a &#039;&#039;&#039;&#039;Validated&#039;&#039;&#039;&#039; status. As articles are added and processed the editor can send messages to you if content needs clarifying or correcting. You will see these messages in your Pure ‘Message box’ to the right of the user window, and depending on if you elect to receive email alerts, these will be summarised in an email to you. &lt;br /&gt;
&lt;br /&gt;
Once content has been validated it can still be edited by the author if they need to make any changes. It will then be marked for &#039;Revalidation&#039; and go back through the workflow process. The article metadata (title, authors, date, journal name, volume, pages) will be visible straight away but other elements will not be released until the article has been validated. &lt;br /&gt;
&lt;br /&gt;
If you wish to keep something out of the editor&#039;s view and signal that it is not ready to be validated, the status should be set to &#039;&#039;&#039;&#039;Entry in Progress&#039;&#039;&#039;&#039;. This way, you can alter any information of your publication without sending it through the validation workflow process.&lt;br /&gt;

There were serious data quality issues in R&amp;amp;D-net and no migration can fix these automatically. As Pure is a very transparent system, many data quality issues have only surfaced after migrating. That said, we have been working hard to improve this, starting with deduplicating and improving reusable metadata such as journals, publishers and external organisations. We are also trying to improve the data quality of individual publications to comply with external requirements, such as the Flemish Research Information Space (FRIS). As there are over 100000 individual pieces of research output in Pure, it is impossible to fix everything. We encourage individual researchers to improve the quality of their data so they can generate clean CVs and their content is displayed properly on the portal. Moreover, we actively support concerted efforts to clean up the data for research groups or departments. Feel free to contact the helpdesk for further details.  &lt;br /&gt;

First of all, you need access to change the information in the organisation profile. This can easily be obtained by contacting the helpdesk. This will allow you to add or edit the description of the group and add contact information and links. However, you can not manage the composition of the team yourself. This is a consequence of the way access permissions in Pure work: membership of a team does not only involve access to the organisation, but also to the person profile of the members. In order to update the composition of a research group, please send an e-mail to the helpdesk with the updated composition of the group. In order to keep the list updated, you can either keep us updated of changes as they occur, or send us an updated list at regular intervals (for example, once a year). &lt;br /&gt;
&lt;br /&gt;
==What do I need to do about e-mails asking me to validate theses?==&lt;br /&gt;

Nothing. Theses are not being validated at the moment, but the system will generate weekly reminder messages as it expects all content to be validated at some point. Usually, we turn these off when granting privileges, but sometimes this is overlooked. You can e-mail the helpdesk, or turn these off yourself under user settings (user name up right upper corner) &amp;gt; E-mail settings &amp;gt; Student theses. Authorized users can [[Accessing Pure|login]] through the login page. After logging in, a researcher without special [[Rights &amp;amp; Permissions|permissions]], should see a screen that looks like this:&lt;br /&gt;

The center of the interface is the working area, and changes depending on the type of content selected. The marked parts of the interface are:&lt;br /&gt;

# Modules: these are the modules to which the user has access. Researchers will work most, if not all, of the time in Personal. Users with additional [[Rights &amp;amp; Permissions|permissions]] may have other tabs here, such as Editor, Master Data and Administrator.&lt;br /&gt;
# Objects: these contain the actual content entered by the researcher and grants read-access to other researchers&#039; content in Pure. When hovering the cursor over these objects, a plus sign may appear. Clicking this plus sign allows researchers to add new content of that type.&lt;br /&gt;
# Personal information: this displays your active affiliations, personal details you have entered and a picture if you have added one to your profile. Adding this information is possible by clicking the &#039;&#039;Edit profile ...&#039;&#039; button.&lt;br /&gt;
# Search bar and user options: the search bar allows users to look through all their personal content, wildcards (such as * or ?) are generally not necessary. Clicking the user option button opens a pop-up window where some [[#Adjusting user settings|user settings]] can be modified.&lt;br /&gt;
# Communication panel: this panel contains links to messages sent by the systems or administrators, or tasks to be completed, if any (in the example, no tasks are waiting). Additionally, the big green &#039;&#039;Add new&#039;&#039;-button allows users to create new activities, research outputs or other editable objects.&lt;br /&gt;

&amp;lt;h2&amp;gt;Adjusting user settings&amp;lt;/h2&amp;gt;&lt;br /&gt;
&lt;br /&gt;
Pure allows users to modify a limited amount of user settings, mostly concerning system interaction. Note that there is a difference between user settings and the personal profile which allows for a much greater degree of customization. Users are people who can interact with the system, while persons are a much larger group (for example, students and retired employees still have person profiles, even though they no longer have user accounts).&lt;br /&gt;

The profile menu allows you to jump to the person profile page (&#039;&#039;Edit person profile ...&#039;&#039;) and to set a default submission language. In most cases, this should be set to English. It can also be set to Dutch, but then the system will assume that all titles, subtitles etc. you enter are in Dutch. When selecting Dutch, the relevant field will be indicated with a Dutch flag (as opposed to a flag of the United Kingdom if English is selected).&lt;br /&gt;
&lt;br /&gt;
E-mail settings determine in which circumstances Pure sends you information by e-mail. For most users, these settings should not be changed, as the default settings only generate e-mails most users want to see. If you do not want to receive any mails from Pure (if you log in frequently, for example), you can turn off the e-mails by going into this menu and change the settings from &#039;&#039;Mails are sent instantly&#039;&#039; to &#039;&#039;Mails are never sent&#039;&#039;.&lt;br /&gt;
&lt;br /&gt;
Message settings work similar to e-mail settings, but instead of sending e-mails, the system sends messages within Pure. This is particularly helpful if you often work in Pure and find e-mails in your inbox annoying. Both messages and e-mails offer users the opportunity to jump to the object the message references. For example, if a validator sends you a message about a particular research output, a link that takes you to that research output is included within the e-mail or message.&lt;br /&gt;
&lt;br /&gt;
Finally, tasks allow users to keep track of actions that still need to be taken. For researchers, the most common application is a task that reminds them of &#039;&#039;pending research output&#039;&#039;. Clicking this task shows all research output that, for some reason has not been validated.&lt;br /&gt;
&lt;br /&gt;
The user profile also includes the option to designate a &#039;&#039;trusted user&#039;&#039;, which allows another Pure user to gain access to your account without the need to share password information.&lt;br /&gt;
&lt;br /&gt;
&amp;lt;h2&amp;gt;Adding a new publication&amp;lt;/h2&amp;gt;&lt;br /&gt;
&lt;br /&gt;
There are three ways to add new a publication: 1) manual input, 2) import from external database such as Pubmed and 3) import from file (Bibtex or RIS). If you want to see if your publication is already in the system, navigate to Research Output &amp;gt; My research output. You will see a list of all research output in the system on which you have been indicated as an author or an editor. To start adding publications, either click the big green &#039;&#039;Add new&#039;&#039; button in the right upper corner of the screen or click the plus-sign on that appears when you hover the cursor over Research output in the lift sidebar. Choose whichever method of input you prefer. If you choose to create from template (i.e. manual input), select the right category in the menus that appear on the screen. After deciding which category in which you want to create a new publication, the right template will pop up on the screen. For the remainder of this guide, we will use the template for a journal article. Note that other categories may have different templates as other information is needed to identify and display the publication.&lt;br /&gt;

Fill out the template as indicated. Note that without additional permissions, the person creating the research output is always added as a contributor to the publication. If you need to add content for someone else, please send an e-mail to the [mailto://rd.databank@vub.ac.be helpdesk] to set up the right permissions. When adding authors or editors, please make sure you use internal persons where appropriate. Throughout the years, many internal persons have been accidentally added as external persons. While we are trying to clean this up as much as possible, the sheer amount of duplicates makes this a long time effort. Start typing the name and look for the internal person (internal persons are indicated by a black icon, external persons are indicated by a white icon.&lt;br /&gt;

In its current implementation, Pure offers two types of CVs: a public CV of which every researcher can have one, and private CVs of which researchers can make any number. Public CVs are automatically shown on the Pure portal, private CVs are created to export and used in grant applications, for evaluations or for other purposes. Pure offers limited possibilities for layout, instead providing the researcher with a basic document, that can be automatically updated when desired as new content is added to Pure.  &lt;br /&gt;
&lt;br /&gt;
&amp;lt;h2&amp;gt;Creating a CV&amp;lt;/h2&amp;gt;&lt;br /&gt;
&lt;br /&gt;
To start creating a new CV, click on the plus sign in the Curricula Vitae tab in the left sidebar of the screen. A pop-up will open, choose either Public CV or Private CV. For illustrating the possibilities of the CV module, in the remainder of this section, a Private CV will be used. After selecting the type of CV that will be created, a new pop-up will ask which sections to add to the CV. Note that it is possible to add additional sections to the CV later. For now, we will simply choose to add research output. &lt;br /&gt;
&lt;br /&gt;

When clicking &#039;&#039;Create&#039;&#039; a single section with all research output will be rendered in the CV editor. You are not able to edit the content in the generated sections directly, instead you can alter the definition and determine what content should be shown and in which form. If you hover the cursor over the section, in the upper right-hand corner a small tool bar will appear:&lt;br /&gt;
&lt;br /&gt;

The first three icons allow you to move the entire section around, placing it ahead or behind other sections if you have created them. The cross removes the entire section from the CV. The &#039;&#039;edit&#039;&#039; button takes you to the editor screen.&lt;br /&gt;

The editor allows you to choose a title for your section, to define a number of filters (e.g. publication types and publication year) and display options, such as the citation style (Vancouver, Harvard ...). You can also order the content in the section. Unfortunately, you can only apply a single sort to a section, so it is not possible to sort mixed research output according to type and publication year, which is generally what you want to do. To solve this issue, you can split up your content by type in multiple sections. This will only take a few minutes and allows you to control individual block consisting of a single type of content. &lt;br /&gt;
&lt;br /&gt;
To begin splitting up a section, change the title of the section from &#039;&#039;Research output&#039;&#039; to a more fitting name, for example &#039;&#039;Articles&#039;&#039;. Filter on the type of content you want in the section and choose to Sorting method you want to apply:&lt;br /&gt;
&lt;br /&gt;

Click &#039;&#039;Ok&#039;&#039; to apply the chosen settings and to view your current CV. At this stage, you should have a sorted list of articles. To add a new type of research content, click &#039;&#039;Add section&#039;&#039;. There are three places where you can do this: at the bottom of the screen, or at either the top or bottom edge of a section, which is useful as you have more sections on the page. Remember that you can always move the sections around in the CV by using the arrow icons at the top-left corner of any section.&lt;br /&gt;
&lt;br /&gt;
Once you&#039;ve clicked the &#039;&#039;Add section&#039;&#039; button, you&#039;ll be presented with the same Add section menu you used before. Choose Research output again, the popup will say that you&#039;ve already added content like this, feel free to ignore this. Apply a different set of filters. For example, if you want to add books, change the title of the section accordingly and filter on the correct type:&lt;br /&gt;

After clicking &#039;&#039;Ok&#039;&#039;, you should have two sections, each containing one type of sorted research output. Repeat this steps for all types of content you want to include in the CV and add other text sections as you see fit.&lt;br /&gt;

Selecting content in this way is an all-or-nothing affair: all content that matches the criteria in the editor will be included and will automatically be updated as new content is added in Pure. However, if you need greater control over the content in a section, you can make a section static:&lt;br /&gt;
&lt;br /&gt;

Making a section section static effectively freezes it, so new content will no longer be added. In return, you get control over where individual publications appear, if at all. Hovering over the section will show icons to move or remove individual publications in the section. Please not that making one section static does not have an effect on other sections. Thus, if you want to have complete control over all sections, you need to make them all static.&lt;br /&gt;
&lt;br /&gt;
Once your happy with how your CV looks, click on the save-button on the bottom of the screen. You can also choose to export your CV to either PDF or Word.&lt;br /&gt;
&lt;br /&gt;
An important shortcoming of the CV module is that, as of version 4.24.1 of Pure, it is not possible to filter on publication state (i.e. submitted vs. accepted, vs. published) or workflow step (i.e. entry in progress vs. validated). While you are in the editor, publications will show their workflow stpe, but this information is &#039;&#039;&#039;not&#039;&#039;&#039; exported to Word or PDF. Consequently, researchers need to take care that they do not accidentally include non-published research output into their CV!&lt;/div&gt;</summary>
